Depends on the event! Balloons may be blown-up prior to the event and created on site, or full pieces may be brought already assembled. Set-up details are contingent on size, scheduling, and venue access.


Balloons are fragile in nature & therefore susceptible to damages (these damages include popping, deflation, color alterations)  when sustained by extreme temperatures and can NOT be guaranteed for a specific amount of time. Due to impacts beyond the control of LI Balloon Queen including but not limited to exposure to the elements (weather), human and animal interactions & indoor conditions including location/venue, inadequate and/or improper access into venue space, narrow staircases, multi-level venues, etc. can also affect the integrity of our pieces.  Although, LI Balloon Queen strives to provide our clients with a perfect balloon installation, there are situations that are out of our control and popping is one of them. 


We charge per foot. Each cluster (approx. 6-8 balloons) is considered 1 foot.


We work with real and faux flowers. Any real design can be replicated with our faux floral pieces.


We require a minimum set-up window of two hours for all events. Venue access is needed for the full two hours. Please keep in mind, some installations are fairly large and may require a multi-day set-up.


There is a $300 minimum for all orders requiring delivery and installation. On occasion, delivery may be offered for grab-and-go items at a discounted price.


A 50% deposit is required to reserve any date. Once a deposit is received, you are added to our calendar and we will proceed with ordering supplies as necessary. This deposit is non-refundable, but will be applied towards the final bill.


The sooner the better! A minimum of 1 week is required before booking, but 2 weeks is preferred. At this time, we are booking up to a year out, so please keep this in mind when booking with us. 


Deposits are non-refundable. Due to unprecedented times, we understand that things can change unexpectedly. Therefore, re-scheduling services are provided and deposits can be applied as credit towards a future event.


Fun fact: did you know latex  is harvested from trees? All of the balloons we use are 100% biodegradable and made of the highest-quality natural latex, sourced from tree sap.


Mock ups are original creations with watermarks. These are available upon request once deposit has been received.


While we understand that creative visions change, once you choose your design and colors--we strongly suggest sticking with your theme. However, we will make adjustments and changes as needed within the scope of your design. Additional fees and charges may be involved. Please note that any and all changes must be finalized 14 days prior to event. 


Of course! We can accommodate extra services within 14 days of your event. An addendum will be added to your contract and additional fees may apply.


Once you finalize the item(s) you want, we ask that you fill out our "Booking Request" form. LI Balloon Queen will then provide you with a finalized invoice which will then include a delivery fee. Delivery fee is determined by location & scope of job & varies per event.  


We do not handle payments of any kind on event day. Please understand there are too many moving parts to keep track of. All payments must be made in FULL two-weeks prior to your event. 


A breakdown service/ "Strike Fee" is required for any event with more than 1 structure. If an event has only 1 structure, clients may opt out of this strike fee, but are expected to dispose of all balloons in an environmentally sound way.  (min $100)


All real flowers are yours to keep! All faux florals are rentals and must be returned to LI Balloon Queen at close of event. However, faux floral designs are available for purchase at an additional price.

LI Balloon Queen Policies

Fees:

  • All transactions with the exception of cash or money order will incur a 3.0% processing fee.


Retainer: 

  • You want LI Balloon Queen to do your event?  But, you are not sure just yet what colors or theme you may want? 
  • Pay $100 retainer 
  • Ensures that your event will be scheduled on our calendar
  • Retainer goes towards the balance of the invoice 
  • Retainer is the best option when booking with us, since our schedule does book up quickly.  
  • Non refundable 


Payment:

  • A 50% deposit (non refundable) is required to schedule client’s event in the calendar. If a deposit is not received, The LI Balloon Queen’s schedule for the date client requested will remain available, open to other jobs, and not guaranteed. 
  • Remaining balance is due in full 2 weeks prior to the event. 
  • The LI Balloon Queen does not handle or hold money on site at any time due to the handling of equipment & materials. 
  • If purchasing a Grab N’ Go, payment is due in full prior to pick up. 
  • If booking less than 2 weeks from date of event, payment must be made in full.
  • Adding/Changing existing items in an order: 
  • You may incur additional fees.


Removing Items: 

  • Contract alterations where items are removed will be deemed a breach of terms. 
  • Client is still responsible for payment of items in full. 
  • Additional fees are dependent on the scope of original agreement. 
  • Switching or Altering items on contract will result in a service fee of 20% of the total cost of item


Bundled Items: 

  • If Client is given a bundled discounted price, any removal or cancellation will result in Client being charged the original non-bundled price per installation and/or piece.


Cancellations: 

  • In the event of a cancellation 30 days or more prior to start of event, The LI Balloon Queen may provide a partial refund on a discretionary basis only. 
  • This is at the discretion of The LI Balloon Queen staff member assigned to Client’s event and will not be reviewed for reconsideration by management. Cancellations made less than 30 days are non-refundable. 
  • In the event, that Client must reschedule the date, The LI Balloon Queen must first confirm that the reschedule date is available. 
  • Please be advised that a rescheduled event may incur additional fees (20%).


Photos/Images: 

  • LI Balloon Queen reserves the right to use any images taken during Client’s event solely for marketing purposes. 
  • This includes various social media platforms, including websites. 


Inclement Weather: 

  • Due to impacts beyond the control of The LI Balloon Queen including but not limited to exposure to the elements (weather), Human and Animal interactions & Indoor conditions including location/venue. In the case of severe inclement weather, if event is outdoors, Client is responsible to have alternate location indoors or covered outdoor area. 
  • Weather related decisions are at the SOLE DISCRETION OF The LI Balloon Queen.
  •  No cancellations or refunds will be provided. 
  • Our balloons can withstand rain, however, the following conditions are likely to be deemed inclement for operation: heavy rain, snow, and wind gusts that reach 15MPH and above. 
  • NO EXCEPTIONS WILL BE MADE.


Venue Access: 

  • Inadequate/Improper access into venue space, narrow staircases, multi-level venues, etc can also effect the integrity of our pieces. 
  • Therefore, Client agrees to make any necessary arrangements with the venue space so that The LI Balloon Queen can properly facilitate any balloon structures into the venue.
